As a member of the Secretary-General’s Front Office Team, the incumbent performs duties, tasks, and responsibilities in support of the day-to-day activities and the running of the Front Office of the Secretary-General.

Responsibilities

  • Provides administrative support to the Director of the Office of the Secretary-General:
  • Performs, under minimal supervision, the full range of office management and administrative support functions.
  • Manages the Director’s calendar, scheduling meetings and telephone calls; maintains the Director’s physical/digital folders of official/confidential documents.
  • Provides administrative support to Special Assistants to the Secretary-General:
  • Maintains the Special Assistants’ rotation schedule; • Organizes coordination meetings in preparation for SG’s official trips and manages meeting participants lists; processes and submits visa applications for the Special Assistants traveling as Trip Coordinators.
  • Supports the Scheduling and Travel Unit:
  • Maintains and updates the calendar of the Secretary-General during the High-level period of the General Assembly and communicates these updates to relevant colleagues.
  • Coordinates with Permanent Missions to schedule, as needed, requested bilateral meetings during the high-level period.
  • Other functions:
  • Maintains the Senior Officials absence(s) from HQ calendar and maintains contact lists.
  • Compiles itemized lists of requests related to the Secretary-General’s official trips; ensures responses to all queries.

Requirements

Education

  • High school diploma or equivalent is required.

Work Experience

  • A minimum of five years of progressively responsible experience in programme administration, general office administration or related fields is required.
  • Experience in researching, analyzing and presenting data is desirable.
  • Experience in planning, preparing, and scheduling meetings is desirable.
  • Experience with Microsoft Suite (Word, Excel, Powerpoint, Sharepoint) is desirable.
