The United Nations is seeking a Facilities Management Assistant to support its operations. This role involves ensuring efficient facility maintenance, enhancing workplace safety, and contributing to a collaborative environment within the UN’s diverse team

This position is located in the DC2 Renovation Project (DC2RP), Facilities and Commercial Activities Service (FCAS), Division of Administration (DOA), Department of Operational Support (DOS). The Department of Operational Support was established to provide operational advisory services to operating entities across the Secretariat, including other departments, offices away from headquarters, field missions, and regional commissions. The Facilities and Commercial Activities Service (FCAS) operates the Headquarters complex, striving to provide effective and efficient planning, management, maintenance and operation for all existing physical facilities and assets at UN Headquarters, New York.

Responsibilities

  • Coordinates construction and renovation projects in DC2 and in other UN buildings; liaises with main stakeholders (building manager, DSS & OICT focal points, contractors and vendors) for the successful implementation of the project.
  • Plans, schedules, supervises and manages staff relocation and office moves under the DC2RP; coordinates with departments/offices when requirements change and suggests alternatives or interim solutions.
  • Assists with the day-to-day administration of contracts between the UN and external contractors for outsourced services, and any lease contracts.
  • Prepares PO/TO, processes payment of contractors’ invoices and monitors payment. Analyzes expenditures and ensures that they are within the allotted funds and according to contract agreement.
  • Schedules meetings with the end-users in the context of the DC2RP. Performs follow up and develops reports.
  • Develops meeting minutes and summaries.

Requirements

  • High school diploma or equivalent.
  • A minimum of seven (7) years of experience in facilities management, building management, engineering, architecture, administrative services or related area is required.
  • The minimum years of relevant experience is reduced to 5 for candidates who possess a first-level university degree or higher.
  • Experience in using architecture design software such as AutoCAD or similar programme is required.
  • Experience in contract management is required.
  • Experience in the use of a computer software package such as MS Office (i.e. Word and Excel) is required.
