The United Nations Department of Operational Support in New York has an opening for a skilled Administrative Assistant. This role provides crucial support to operational activities, demanding excellent organizational and communication abilities. This position is located in Income Tax Unit of the Payroll and Accounts Payable Section, Division of Administration, Department of Operational Support (DOS). The Administrative Assistant will report to the Chief of the Income Tax Unit.

Responsibilities
- Initiates, processes, monitors, reviews and follows up on actions related to the administration of the unit’s human resource activities, e.g., recruitment, placement, relocation, promotion, performance appraisal, job classification reviews, separation, training etc., ensuring consistency in the application of regulations and procedures.
- Enters, maintains and certifies administrative data and records for time and attendance, performance appraisal, etc. in electronic information systems.
- Reviews Income Tax Reimbursement Claims, process and recommend for approval. Reviews status of relevant expenditures and compares with the approved budget.
- Reviews requisitions for goods and services to ensure (a) correct objects of expenditure have been charged and (b) availability of funds.
- Assists in the preparation of budget performance submissions.
- Prepares statistical tables and standard financial reports. General Administration
- Prepares, processes and follows up on administrative arrangements and forms related to the annual tax reimbursement preparation.
- Drafts tax exemption certificates for Non-Taxpayer staff members.
- Maintains files of rules, regulations, administrative instructions and other related documentation.
- Maintains up-to-date work unit files (both paper and electronic).

Requirements
Education
High school diploma or equivalent is required.
Work Experience
- A minimum of five years of experience in administrative services, finance, accounting, audit, human resources or related area is required.
- The minimum years of relevant experience is reduced to three years for candidates who possess a first-level university degree or higher.
- Four years of experience focused on transactional based administrative services activities such as payroll, United States income tax, is required.
- Experience working in an administrative or operations office in an international organization is desirable.
- Experience working with the United Nations or a large decentralized organization’s systems and procedures as they relate to staff rules and regulations including entitlements and financial regulations, rules and procedures is desirable.
