These two positions at UN are located in the Office of the Chief, Languages Service, Division of Conference Management, Department for General Assembly and Conference Management (DGACM), Geneva. The incumbents report to the Chief, Languages Service.

Program Overview

Under the general guidance of the Chief, Languages Service, the Language Service Assistants will be responsible for the following duties:

  • Performs independently and effectively the full range of office management and administrative support functions; provides reference assistance and basic computer technical support functions to the Chief of Service.
  • Assists the Chief of Service in carrying out research in the daily official UN documents, newspapers and magazines in the languages used by the Service.
  • Inputs terminology data as instructed by the Chief,
  • Organizes and maintains the files of the Service in electronic and/or hard copy form and keeps them up-to-date; provides reference assistance to the Chief of Service including contacting outside sources such as other UN Departments and Permanent Missions for assistance when in-house reference sources are exhausted.
  • In addition to UN documents, purchases, registers, classifies and distributes reference books, periodicals and other materials.
  • Ensures the provision of computer equipment and e-mail services to all staff in the Service/ including temporary staff; handles all arrangements connected with this task such as requisitions and administration.
  • Provides basic computer technical support to the Chief of Service; provides assistance in finding information and databases; helps with the operation of software; performs basic trouble-shooting functions of computer problems in a timely manner; reports problems to Help Desks (information technology, building management, etc.), monitors and follows-up as necessary.
  • Provides technical assistance in the compilation of monthly and yearly productivity statistics for the Service as a whole and for individual staff; assists in providing other statistical information to the Director or Head of the Department as instructed by the Chief.
  • Performs when required other general administrative and clerical functions of the Service, such as the operation of Doc and job management system; assists in ensuring the smooth electronic transmission and processing of documentation (prepares daily and weekly lists/schedules; maintains attendance records, and monitors in Umoja, etc.
  • Carries out such other tasks as may be requested by the Chief; covers other General Service staff functions when the latter are absent on annual or sick leave.
  • Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making.
  • Assists with visualizations and updating information material such as web pages or brochures, including SharePoint sites maintained by the Languages Service.
  • Any other duties as required.

Requirements

Education

  • High school diploma or equivalent is required.

Work Experience

  • At least seven (7) years of experience in general office support or related area is required.
  • One year or more of experience in data analytics or related area is desirable.
  • One year of experience in terminology or related area is desirable.
